How to Organise Your Travel Documents on Google Drive (Before You Lose Them)

The boarding pass is the most discarded document in travel.

You use it to board. You fold it, stuff it in your pocket, and forget about it. Three months later, a visa application asks for proof of your travel dates, and you are searching your email hoping the airline sent a confirmation that matches what you remember.

Sometimes it does. Sometimes you booked through a third-party site that sent a confirmation to an email address you no longer use. Sometimes you cannot find it at all.

A boarding pass takes five seconds to photograph. That photograph, filed correctly, is worth hours of reconstruction time later.

The folder structure that works

Google Drive. One top-level folder. Everything inside it.

Each trip folder contains everything from that trip — boarding passes, hotel confirmations, visa stamps photographed from the passport, any entry or exit documents received.

The naming convention matters. Singapore — Mar 2024 not Trip 1 or March. You need to find these files two years from now when you cannot remember exactly when you went.

What goes in each trip folder

Boarding passes — both outbound and return. Front and back if there is anything printed on the back. Photograph them before you throw them away. This takes five seconds.

Hotel confirmation — the booking confirmation email, saved as PDF or screenshot. Shows your dates, your location, your name.

Visa stamp photograph — if your passport was stamped on entry, photograph that page before you travel next. Stamps fade. Pages get damaged. Photographs last.

eVisa or visa approval letter — download and save it. Government portals sometimes delete old records. Your local copy is the only reliable version.

Any entry documents — arrival cards, customs declarations, anything given to you at the border. Rare now, but still issued in some countries.

The habit that makes it work

The filing happens at the airport, not at home.

Photograph the boarding pass before boarding. Save the hotel confirmation to the trip folder before you leave for the airport. Photograph the passport stamp when you get back to the hotel.

Nadia is a regional sales manager based in Cairo. She travels to Gulf countries four or five times a year — Riyadh, Dubai, Doha, Kuwait City. She started the Google Drive system three years ago after spending a weekend reconstructing a UAE visa application from memory and bank statements.

Her filing now takes about four minutes per trip. The four minutes happen at the airport, on the plane, at the hotel — whenever she has a moment. By the time she lands home, the trip is documented.

Her last visa application — a UK multiple-entry — had a travel history section covering five years. She completed it in twenty minutes, working from her Google Drive folders and PassportTrail side by side.
